1. Fulfilment Process Policy

Public & Private Sector Compliant

1.1 Purpose

This policy defines how GAVERS manages order fulfilment through Gavers.co.uk to ensure consistent service delivery, traceability, and compliance with public and private sector procurement expectations, including audit readiness, SLA adherence, and supplier accountability.

1.2 Scope

This policy applies to all applicable orders, including:

Corporate gifting contracts

Subscription or bulk procurement orders

Framework or tender-based public sector contracts

Bespoke commercial supply agreements

1.3 Order Processing Workflow

All applicable orders follow a controlled fulfilment lifecycle:

Order Receipt & Validation

Orders are confirmed via secure digital system, email, API, or procurement portal.

Verification may include:

Purchase order (PO) reference, where applicable

Billing details

Delivery schedules

Special instructions

Contract or account requirements, where applicable

Order Allocation

Orders are assigned to the fulfilment queue within 1 working day.

Stock availability is confirmed before processing.

Substitution rules are only applied where contractually permitted.

Picking, Packing & Quality Control

Items are picked using batch tracking where applicable.

A quality control check is completed before dispatch.

Packaging is aligned to brand, product, or client specification where applicable.

Dispatch & Delivery

Courier selection is based on shipping destination, order type, and SLA requirements, including standard, tracked, or premium delivery.

Tracking information is provided automatically to the customer, client, or procurement contact where available.

Proof of dispatch is recorded and retained.

Completion & Confirmation

Delivery confirmation is logged where courier tracking permits.

Exception reporting may be issued for delays, damages, shortages, or failed delivery attempts.

1.4 Service Levels (SLA)

Standard consumer orders ship within 5–10 working days for UK domestic orders, unless a pre-order ship date is given.

International consumer orders ship within 5–15 working days, unless a pre-order ship date is given.

Corporate, bulk, tender, framework, subscription, or public sector orders may be subject to bespoke SLA terms agreed per contract.

Where a bespoke SLA has been agreed in writing, that SLA will apply instead of the standard consumer shipping timeframe.

GAVERS targets 99%+ dispatch accuracy across applicable fulfilment operations.

1.5 Audit & Traceability

Order traceability is maintained for a minimum of 6 years where required for corporate, public sector, tender, framework, or procurement-related contracts.

Batch-level tracking is maintained for dispatched goods where applicable.

Relevant fulfilment documentation may be made available for procurement audits upon request, subject to commercial confidentiality, data protection obligations, and applicable law.
